Finder Integration
- Finder integration will show Keep as a location in the Finder’s sidebar and Go menu, and in standard Open and Save panels. In this location it is possible to create folders, add, move, rename and remove files and folders, with the changes reflected in Keep It.
- When using iCloud as well as Finder integration, files will be shown in the Finder whether or not they have been downloaded. By default, Keep It always downloads items, but this can be changed by deselecting “Download all Items” in Advanced preferences. When disabled, the system manages downloads automatically: any app or script accessing the files will prompt them to be downloaded. Files may also be downloaded to perform Spotlight indexing or backup with Time Machine as required. The system may remove downloads if storage is tight or files haven’t been accessed recently. Downloads can also be removed manually in the Finder.
- Items and folders in Deleted Items will be shown in the system Trash, and moving files or folders to the Trash will move them to Deleted Items in Keep It. Emptying the Trash will remove the items from Keep It also.
- When using iCloud, changes made to files in the Finder will be saved to iCloud whether or not Keep It is running, but updates from other devices requires the app to be running.
- To enable Finder integration, choose Keep It > Library > Enable Finder Integration from the menu. Finder integration is enabled by default for libraries created with Keep It 2.0 or later. It will not be enabled automatically for libraries created with Keep It 1.x to preserve compatibility with any external integrations.
- To disable Finder integration, choose Keep It > Library > Disable Finder Integration from the menu. Keep It will then download any files not on your Mac.
- In Advanced preferences, enabling “Download all items” will prevent downloads from being removed, and ensure that files are always downloaded when the app starts up. When that setting is disabled, click “Remove All Downloads” to remove all downloads for items that do not have pending changes, are not in use by Keep It, another app, or the system.
- When Finder integration is enabled, you will need to give Keep It permission the first time you try to open an item (or an attachment on an item) in another application.
- Shared folders that you do not own, or items in shared folders that you do not own, cannot be moved in the Finder. Attempting to remove an item in a remote shared folder will remove it immediately rather than move it to the Trash.
- When choosing Stop Using iCloud from the Keep It > Library menu, any files not your Mac will be downloaded first, although this can be skipped. Once iCloud is disabled, any items whose files do not exist on your Mac will be removed.
- Finder integration cannot be used with custom file locations, and aliases to Keep It’s files will no longer work.
- As in Keep It 1.x, symbolic links and aliases cannot be added to Keep It via the Finder, whether using Finder integration or a custom location.
Sidebar
- Folders, bundles, and nested saved searches can now be reordered. Choose whether to sort lists manually or by name using the View > Lists menu. The order will be used wherever the lists are shown.
- The settings to show the Unfiled and No Label lists have moved from General preferences to the View > Lists menu.
- The “Show all items in folders” setting has moved from General preferences to the View menu.
- Cloud and file import progress will now be shown next to All Items, click the progress indicator to show the Activity window.
- The default import destination is now indicated in the sidebar by a down arrow in a circle beside the name.
- The Deleted Items icon is now grey.
Quick Open
- Go to a specific item or list by choosing Go > Quick Open from the menu (or pressing ⇧⌘O) and start typing the name. Navigate results with the up / down arrow keys, and press Return to choose the selected result.
- Click the magnifying glass icon to choose whether to include both lists and items, only lists, or only items.
Organizing Items
- File items in a folder or bundle by choosing Item > Quick File from the menu (or ^⌥⌘F). To navigate with the keyboard use the arrow keys, and press Return to choose the selected list. Click the + button to add the items to a new folder or bundle instead.
- Duplicate one or more items by choosing Item > Duplicate from the menu.
- See and navigate to notes and other editable text items that link to the current item in the Show In menu, or by clicking the ellipsis button in the Where line of the Info view.
- When multiple items are selected, clicking Add To Bundle and Move To Folder in the preview area will show a searchable popover instead of a menu.
- A Quick File toolbar item replaces the Move to Folder and Add to Bundle toolbar items.
- The optional Label toolbar item in editor windows now shows the color of the label for that item, not the last used label color as in the library window.
- List colors are now shown in menus and the Favorites bar.
Search
- When the search field first gains focus, a number of suggestions are shown immediately. This can be disabled in Search preferences.
- Icons are now shown for search suggestions, along with tokens in the search field, matching Keep It for iPad and iPhone, and making them more compact.
- Ctrl-clicking or right-clicking a suggestion will show alternatives.
- When searching for multiple words in names and comments the sequence of words is no longer matched exactly unless the search text is enclosed in double quotes. This matches the behavior of content searches.
- Search for items with checklists or outstanding checklist items.
- Search for notes, rich text documents, Markdown files and PDFs with highlighted text, and search for a specific term in the highlighted text.
Items List
- Favorite items can now be shown at the top in both List View and Icon View. Change the setting by clicking the view options button in the toolbar, or by choosing View > Show View Options from the menu.
- When sorting the list by date, ascending order is shown as “Oldest to Newest” and descending “Newest to Oldest”.
- Nested folders, bundles and saved searches now inherit their parent folder’s view mode and sort settings unless customized.
- Improved formatting of multiple tags shown in list or icon view.
- The iCloud status icon now shows whether an item needs to be uploaded, downloaded, or if the file is missing on iCloud.
- Improved the appearance of the Tag Filter to afford greater visual distinction between it and the items list.
Item List View
- A combination of the name and summary now wrap for up to four lines, with at least one line shown of each, unless the summary is hidden.
- The item’s thumbnail is now shown alongside both the name and summary, which allows it to be larger.
- The summary for images, movies and sounds is now shown on a single line.
- File information, such as the date, size, the container folder or bundle, and iCloud status are now shown on a single line.
- The Favorite swipe action is now yellow.
Item Icon View
- Thumbnails for documents are now shown by their width, rather than full height. Thumbnails for images are still shown in full.
Notes
- It’s now possible to edit the alignment, line spacing, and paragraph spacing of saved note styles.
- Edit and save note styles from the Aa button in the format bar.
Notes & Rich Text Documents
- Adjust the visible margin by choosing Format > Display Margin from the menu and choosing Small, Medium or Large.
- Change the line height using the Format Bar.
- The Format > Show Margins menu item (shown only when an item is open in its own editing window) has been renamed to Constrain Width.

- A Fonts button is now included in the popover shown when clicking the format button in the format bar. Clicking the button will show the standard Fonts panel.
- Insert a link to another Keep It item or list by choosing Format > Add Link from the menu and choosing “Item” or “List” from the “URL” pop-up.
- “Add Link” will now be shown in the contextual menu for notes and rich text documents when text, but no link, is selected.
Markdown
- Markdown previews now support task lists and auto-links.
- Adjust the visible margin in the editor by choosing Markdown > Settings from the menu and using the Margins pop-up in the Editor tab to choose small, medium or large.

Keep It used CriticMarkup for versions 1.7 to 1.11.
Plain Text

Web Links
- See web links and saved web pages in reader mode, if possible, by clicking the Reader button above the web page or by choosing Web Page / Web Link > Show Reader from the menu.
- If a web link or web page can be displayed in reader mode, it can be converted to a note, formatted with your current note styles. Save a web link as a note by choosing Web Link > Save As > Note from the menu. Save a web archive or HTML as a note by choosing Web Page > Convert To Note from the menu.
- Added a toolbar for saved web pages and web links viewed in the main window where you can toggle reader mode, zoom the content, and reload, open, and save web links.
- Choose a format when saving an existing web link for offline by clicking and holding on the save link button shown above the web page.
- When saving an existing web link for offline, if reader mode is in use, the web link will be saved in that format.
- In Import preferences, select “Minimal if possible” to save web links in a minimal format like Reader mode when possible. This setting is shared across your Macs and iOS devices when iCloud is in use.
- When creating a new web link in the app, change the “Minimal if possible” setting by clicking the options button next to the format.
- When creating a new web link in the Share extension or import view, choose “Minimal if possible” from the format pop-up to toggle the setting on and off.

PDFs
- Navigate PDFs by page thumbnails or a table of contents, if available, by clicking the book icon above the PDF.

Mail Messages

Stationery
